How to add a new program?

Purpose of this article

Teaches how to add new study programs in the system.

Before you start
Make sure you have
  • the correct administrator permission (“courses-view” and “courses-edit”)

  • Gathered institution-specific data, including:

    • Program name and study duration

    • Program description and specifications

  • created:

    • Study terms

    • Intake periods

    • Application form

    • (optional) Fees

Instruction

Add a new study program:

  • Log in as an administrator with the permission “courses-view” and “courses-edit” (included with the Role “Courses administrator” in addition to “Superuser”).

  • From the side menu, go to: My institution > Programmes.

  • Click on the “+ New programme” button.

  • Fill in all information necessary for the accurate description of your programme. Many fields are optional and can be left blank. Some of the most important items to include are:

    • Fields within the “General” section:

      • Intake – this is where programmes are linked to Intakes.

      • Fees – this is where programmes are linked to fees.

    • Fields within the “Admission” section:

      • Entry qualifications – this is how you control the minimum prerequisite level of achieved education. For example, a BA programme typically requires a high school diploma, and a MA programme requires a bachelor’s degree.

      • Language requirements – this is how you inform the applicant what language(s) are required for the programme.

    • Fields within the “Application form” section:

      • Appform – this is where the selection of questions to the applicants will come from.

      • References – this is where the option to require the applicant to ask for references is set.

      • Motivation letter – this is where the option to require the applicant to write a motivation letter is set.

      • Portfolio – this is where the option to require the applicant to upload a portfolio is set.

      • Scanned documents - this is where the option to require the applicant to upload a documents is set.

      • Media files - this is where the option to require the applicant to upload some media file or link is set.

    • If the course has a limitted places, then define the main and extra quotas. (You must have enabled “Ranking” add-on to use all benefits of this tool)

    • Scoring (only available with the “Scoring” and “Ranking” addons) - this is where a programme is linked to a scoring Criteria.

    • Fields within the “Prospectus” section:

      • Overview – this is where general information about the programme can be included.

      • Course contact - You can assign the course contact info to the study program. Read more here.

      • Photo and Video - You can add the cover photo and YouTube link

  • When the course is ready for applicants to begin viewing it, it is time to change its status from “Draft” to “Online”. Read more:

    • Online and Stand by modes - Both Online and Stand by courses are publicly visible, however the latter does not allow the course to be applied to.

    • Private mode - Private courses are not publicly visible and cannot be found via course search, but they can be applied to when accessed via a link.

    • Closed - If you want to delete the course, choose “Closed”. Closed courses will be avilable from My institution > Programs > Closed.

Expected outcome of the instruction

Once the study program is created and is in Live, as long as the Intake allows it, the applicant will be able to apply for it.
