Make sure you have:

• the Grants and Scholarship addon enabled (please feel free to contact [email protected] if you would like more information on enabling this addon)

• the correct administrator permissions (Admission administrator”)

• the information about your grants and scholarships budget amount.

• Log in as an administrator with the permission “aids” (included with the Role “Superuser”).

• From the Main menu, go to: Grants and Scholarships > Budgets

• Click on “+ Add a new budget”

• Choose a budget status between “Approved” and “Planned”

• Set the name for the budget. Name is not visible for applicants.

• Choose an year for the budget. It should match with financial year of your university. Note that when issuing scholarships, you can allocate funds from any budget, regardless of the year. For example, you can set up a scholarship so that all tuition fees will come from this year’s budget. Or, you can create (planned) budgets into the future and allocate funds from them.

• Add the budget amount and currency. This is the limit that will be enforced for the budget and from where allocations will be drawn from.

• Allow overdrawing the budget - Normally it is not possible to award a grant or a scholarship if it draws from a budget that has already been fully allocated. Checking this will allow this budget to go “into the red”. This may be useful when automatically awarding grants / scholarships with the rules engine, so the process does not stop just because the funds have ran out.
